Why regular air conditioner maintenance matters

An air conditioner is one of those appliances most households only think about once it stops working as it should - that is, when cold air suddenly stops flowing from the indoor unit, when an unpleasant smell appears on switch-on, or when water starts dripping from the unit onto the floor. Yet most of these situations can easily be prevented with regular, undemanding maintenance that, in the vast majority of cases, takes less time than cleaning the bathroom.

During operation, an air conditioning unit continuously draws air from the room, passes it through the heat exchanger and filters, and returns it cooled (or, in winter mode, warmed). Along with the air, dust, pet hair, pollen, textile fibres, and in kitchens even grease enter the unit. Over time all of this settles on the filters, on the heat exchanger fins, and in the condensate drainage system. The result of neglected maintenance is not just worse indoor air quality, but also genuinely higher electricity consumption, faster compressor wear, and, in a worse case, an expensive repair that could have been avoided.

In this article we go through what you can handle yourself when maintaining an air conditioner, what is always a job for a professional service technician, how often to do each step, and what costs to expect. We base this on common practice with wall-mounted split air conditioners, which make up the vast majority of installations in households and smaller premises in Slovakia.

How often to clean an air conditioner - an annual schedule

The most common question we hear from customers is simple: "How often does it actually need cleaning?" The answer depends on what task we're talking about - filters are a task for the user and need attention often, while deeper cleaning of the heat exchangers and checking the refrigerant belong to a service technician and only need doing once a year. A proven schedule we recommend to most households looks like this:

  • Spring (before the season starts, March-April): a visual check of the unit, cleaning the filters, checking free condensate drainage, checking the outdoor unit after winter (fallen leaves, debris in the fan).
  • Summer (June-August, the period of most intensive operation): cleaning the filters roughly once every two weeks; for households with pets or allergy sufferers, even more often is fine.
  • Autumn (September-October): a complete clean before shutting down for winter, checking for leaks and preparing the unit if it isn't used for heating in winter.
  • Winter (November-February): for units with a heating function, ongoing filter checks (the unit is also used in winter); for units without winter operation, just an occasional visual check of the outdoor housing is enough.

Cleaning the filters - what you can handle yourself

Filters are the first barrier the incoming air passes through, and also the only part of an air conditioner an ordinary user should clean themselves, without a service technician. Most wall-mounted units have their filters located right under the indoor unit's front cover, and removing them takes only a few seconds - the cover lifts up and the filters slide out.

How to clean a filter step by step

  1. Switch off the air conditioner and, ideally, disconnect it from the mains.
  2. Carefully open the indoor unit's front cover (usually pressing the side clips is enough for the cover to flip upward).
  3. Pull out the filters - on most models this is a simple slide out or downward motion.
  4. Vacuum off heavier dust with an upholstery attachment, or first gently tap the filter to shake off loose dust.
  5. Wash the filter in lukewarm water (up to approx. 40 °C) with a bit of detergent, using a soft brush or sponge. Never use hot water or aggressive chemical cleaners - the filter's plastic grid can deform.
  6. Let the filter dry completely in the air, out of direct sunlight (a damp filter put back into the unit is a breeding ground for mould).
  7. Put the filter back exactly the way it came out, and close the front cover until it clicks audibly.

With a bit of practice, the whole process takes under ten minutes and requires no tools or specialist knowledge. If the filter feels heavy in your hand when removed and is visibly discoloured grey or brown, that's a reliable sign you should have started cleaning it sooner. A neglected, clogged filter restricts airflow through the indoor unit, so at the same temperature setting the unit has to "demand" more output to achieve the same effect - and that shows up directly on your electricity bill, which we cover in more detail with specific figures in a separate section below.

Besides the filters themselves, it's worth checking the plastic housing and the louvres that direct airflow into the room during each cleaning session - these can be wiped down with a damp cloth from the outside without having to disassemble the unit.

What requires professional service

While any user can handle the filters without issue, there are a number of tasks that require professional qualification, special measuring equipment, or work with refrigerant - and these belong exclusively in the hands of a certified service technician. These are primarily:

  • Chemical cleaning of the heat exchanger in both the indoor and outdoor unit - grease and dust build up on the exchanger fins over time, which ordinary wiping won't remove; a special foam cleaning agent and thorough rinsing are needed.
  • Checking the tightness of the refrigerant circuit - a refrigerant leak only shows up externally as a gradual drop in output; an ordinary user cannot detect it without measuring pressure.
  • Checking and cleaning the condensate drain, including the drain pump if the unit has one - a blocked drain is the most common cause of water leaking from the indoor unit.
  • Checking electrical components and connectors - a loose connection or corroded contact can cause a fault or, in a worse case, be a safety risk.
  • Measuring operating parameters (refrigerant pressure, the temperature difference between intake and outlet air, fan speed) and comparing them with the manufacturer's stated values.

How often to book a service technician

For an ordinary domestic split air conditioner, professional service once a year, ideally in spring before the main season, is the standard. For intensively used units - for example in businesses, offices, or households where the air conditioner runs practically year-round, including for heating - it's worth considering servicing twice a year, in spring and autumn. Most manufacturers (including Vaillant, whose models we mention below) also recommend a regular annual inspection for the sake of maintaining warranty conditions - when handling a claim, a service technician typically checks whether the unit has been maintained according to the manufacturer's recommendations.

How much air conditioner maintenance and service costs

Cleaning the filters yourself costs practically nothing - at most a bit of detergent and a few minutes of your time. A professional annual service inspection on the Slovak market typically ranges from approximately €50 to €90 per split unit, depending on the region, technician availability, and the scope of the work (for example whether refrigerant top-up is included, which is usually billed separately based on the amount used). For multiple units in one household or business, service companies commonly offer a quantity discount for a single technician visit.

How maintenance affects energy consumption

Neglected maintenance doesn't just affect comfort, it also noticeably affects electricity consumption. A clogged filter restricts airflow through the indoor unit, so the heat exchanger can no longer efficiently transfer cool air into the room, and the compressor has to run longer or at higher output to reach the set temperature. According to commonly cited approximate figures from service practice, a significantly dirty filter causes an increase in electricity consumption of approximately 15 % compared to a clean filter, at the same setting and the same outdoor conditions. For a unit that has gone without any service at all for a long time (two to three years) - meaning not just the filter but also the heat exchanger is dirty, and drainage is partially restricted - the increase in consumption can climb to as much as 25 % compared to a properly maintained unit in the same conditions.

For an ordinary household that spends roughly tens of euros a month on air-conditioning cooling over the summer season, the difference between a maintained and a neglected unit can genuinely amount to several extra euros every month - without getting anything more in return. A few minutes invested in cleaning the filter therefore pays for itself very quickly, much like an annual service inspection compared to the risk of a more expensive repair for a compressor fault caused by long-term restricted refrigerant or airflow.

The most common problems from neglected maintenance

From service call-out experience, we repeatedly encounter a handful of typical problems that almost always have their origin in neglected or entirely skipped maintenance:

Water dripping from the indoor unit

The most common cause is a blocked condensate drain - dust mixed with moisture builds up in the drainage hose over time, or an algae coating forms that prevents free drainage. The fix is easy for a technician (blowing out or cleaning the hose), but without intervention the problem only gets worse, and over time the water can even damage the walls or the floor beneath the unit.

Unpleasant smell on switch-on

A musty or "mouldy" smell right when the air conditioner is switched on almost always signals moisture and micro-organisms settled on the heat exchanger or in the drainage system. Ordinary filter cleaning won't solve this problem, because the source is deeper in the unit - chemical cleaning of the heat exchanger by a professional is needed.

Gradually declining cooling output

If the unit cools progressively worse despite having clean filters, the most likely cause is a drop in the amount of refrigerant in the circuit due to a slow leak. This cannot be diagnosed or fixed yourself - it requires pressure measurement and work with refrigerant, which under current legislation may only be carried out by a person with the appropriate qualification.

Noisier operation than when new

An increase in noise, especially from the outdoor unit, is often related to the fan or condenser fins becoming dirty with debris from the surroundings (pollen, leaves, plant fluff). An ordinary user can remove some of this build-up by carefully vacuuming the outdoor unit's grille, but deeper cleaning of the fins should be done by a technician, so they don't get bent in the process.

Outdoor unit maintenance - the most commonly forgotten part

Most attention when maintaining an air conditioner is focused on the indoor unit and its filters, because they're within easy reach and cleaning is simple. The outdoor unit, however, mounted on a façade, balcony, or roof, is no less important in terms of functionality - it's exactly where the compressor and condenser are located, i.e. the parts that require the most expensive repair if they fail.

The outdoor unit is exposed to weather conditions all year round - rain, dust from the surroundings, pollen during spring, fallen leaves in autumn, and sometimes even insects nesting in the fan during the summer months. An ordinary user can do a few simple things themselves:

  • Check whether the fan grille is blocked by leaves, twigs, or other debris, and carefully remove any larger debris by hand or with a soft brush.
  • Make sure there's free space of at least a few tens of centimetres around the unit on all sides - overgrown bushes or stored material right next to it block free airflow and reduce cooling efficiency.
  • Visually check that the unit isn't excessively tilted or loose on its bracket, which could cause increased vibration and noise.

Deeper cleaning of the condenser fins with a special agent, checking the refrigerant level, and measuring the operating pressures belong exclusively to a service technician, as mentioned above - trying to "clean it yourself" with more aggressive agents or pressure washing risks bending the delicate aluminium fins, which will make the unit's output worse rather than better.

A practical example from an ordinary household

As an illustration, let's look at a typical, frequently repeated scenario from service practice. A three-room flat with a single wall-mounted split air conditioner of approximately 3.5 kW output, in operation practically daily during the summer months. In the first year after installation, the owner did nothing about the unit - didn't clean the filters, didn't book a service. In autumn they noticed the air conditioner was cooling noticeably more slowly than at the start of the season, and that a faint bubbling sound had appeared during operation that wasn't there before.

During the subsequent service inspection, it turned out the filter was so clogged with dust it practically blocked airflow, and at the same time the refrigerant pressure was slightly reduced due to a slow leak at one of the fittings. After cleaning the filter, topping up the refrigerant, and sealing the fitting, the unit's output returned to its original level and the bubbling disappeared. The cost of this call-out was several times higher than a routine annual inspection without the need to top up refrigerant would have been - which is exactly why regular, seemingly "unnecessary" maintenance pays off in the long run.
